Adding records

This step-by-step procedure explains how to add a record to the European XFEL Publication Database. At any point before clicking the Submit button at the bottom of the submission screen, you can save your work by clicking the Save button. After you click the Submit button, the record will be sent to the database administrators for approval and release to the public.

To submit a record to the publication database, follow these steps:

1. From the top menu, click Submit and select one of the following:
   • Book contribution
   • Journal article
   • Poster
   • Preprint
   • Proceeding contribution
   • Report
   • Talk
   • Thesis
2. Optional: In the Import Record field, type the ID of an external record (e.g. DOI or arXiv ID) and click OK.

   The database imports metadata from the external record.

3. Enter metadata into the following fields:
   • Title
   • Author(s)
   • Affiliation(s)
   • Group(s)
   • Topic(s)
   • Scientific area(s)
   • Societal Challenge(s) (peer-reviewed journal articles by users and/or staff members only)
   • Journal name (articles/proceedings only)
   • Journal volume (articles/proceedings only)
   • Article pages (articles/proceedings only)
   • Publication year
   • Abstract
   • URL

   NOTE: If you imported the record, many of these fields will already be populated. In this case, you just need to verify the metadata.

4. Upload a PDF of the publication, if available.

   CAUTION: Always select Restricted unless the publication is Open Access.

5. Optional: Add the DOI of the related dataset, if any.
6. Click Submit.

The record will be sent to the database administrators for approval and release to the public.
